Purpose of this Dialogue

The UNFCCC secretariat is seeking market insights to help refine our requirements for an online platform that will enhance inclusivity, transparency, and effectiveness of UNFCCC events through virtual participation capabilities.

This platform will enable authenticated participants to join meetings virtually, access event information in real-time, select content preferences, and interact with other conference participants based on their credentials. The platform must integrate with existing UNFCCC systems including Microsoft Entra ID, our registration systems, and event scheduling tools.

Through this dialogue, we aim to gather industry perspectives on technical approaches, best practices, and implementation considerations before finalizing our formal procurement documents. We welcome input on modern standards, user experience design, scalability approaches, and future-proofing strategies.

This is a requirements refinement exercise rather than a vendor evaluation process. All participants will benefit from the collective insights generated during this dialogue, and participation is not mandatory for future bidding opportunities.

We invite qualified vendors to share their expertise and help shape requirements for a platform that will support UNFCCC's mission of facilitating international climate action.

Pointers for Decision Making

  1. Request for Demo : Requesting for demo after submissions of proposals is very import because you are able to see and experience the platform in real time, see the capabilities and ask all the necessary questions to make a decision.
  2. Support & Maintenance : Support is very crucial. 24/7 Support and an excellent after sales support and maitenace is a key point to consider when making a decision.

Based on the UNFCCCaccess platform document it would be my advice to select an x amount of providers that can offer a solotion to a digital event platform. 

with that request you could ask for a demo, where you give each participant te same amount of time to demo their solution.

Engagement in online platform

As in the documents it states tgar during covid an online event platform played a pivotal role for facilitating engagement I would advise to request demo´s or documentation on how participants make sure audiences/attendees get engaged before, during and perhaps after an event. 

Define what you see as 'engagement' and how you would like to measure this

Make sure that: 

1. support will almost 'not be needed': the tool you use should be user friendly and provide clear instructions, and how-to's 

2. make sure that support is also documented so that you would have no dependency on 'opening hours' of the provider you choose. 

3. if need be, is there an emergency line that IS available 24/7
